The Business Challenge
This company deals with sensitive information and they are held accountable for their process of handling data according to the Part 11 rules of FDA. The only way they could do this was having everything on paper and have people physically sign the papers. This paper based solution was causing issues as tracking of the action requests and generating reports for management was very difficult.
 
The Solution
 
An InfoPath and SQL solution was implemented for this project.
 
The various parts of this solution are
  • Website portal to easily track and access the Action requests
  • InfoPath Form to streamline data entry and reduced employee time spent entering and validating data
  • .NET Web service
  • Database integration to help do reporting and notifications
  • Excel Reporting
 
This solution helped maintain a workflow along with email to give timely information about the changing status of an Action Request. Email reminders by the Notifications tool and color coded table of Action Requests in the website portal helped to keep better track of the Action Requests. It also helped reduce spreadsheet bottlenecks by using distributed forms collaboration. Auditing was provided where all versions of the Action Request were saved and could be very easily brought up to verify. Digital signatures and access based on security groups in the Active Directory was used to provide security so as to hold people accountable on the data at each part of the workflow of the Action Request.

  • Reduced the employee time spent in entering and validating data

  • Distributed forms collaboration to reduce bottlenecks in the workflow
  • Provide accurate history and security for the forms so as to be able to easily follow FDA Part 11 rules
